The travel itinerary takes a few minutes

It has to be easy to travel. Therefore I prefer as little paperwork as possible. Earlier there were lots of forms to be completed and returned before the travel. After we have received Travel-X, I can both book advance and travel in one operation - directly from the screen. Instead of a lot of paperwork I can simply fill in an electronic form. Here I write down my requests for advance, destination, transport, hotel, car etc. and send the information for approval at my manager. It requires only one keystroke.

The really smart thing about the electronic itinerary is that I only have to register my requests one time. When my manager has approved the travel, the system automatically sends my requests to the travel booker and checkout counter. That way everyone in the organization knows what I need. Today I only use two minutes to book travels and advances. Once I have ordered, I do not need to think more about the travel before departure time.

90% of the travel settlement is done in advance

In the past it was a tad stressful returning from a trip because both work tasks and a time-consuming travel settlement were waiting. Today there are still work related tasks waiting on my desk, however Travel-X takes care of my travel settlements in a few minutes. The system has completed 90% of my travel settlement before I even get to open the computer - simply because the system reuses the data I have entered in my itinerary and because the credit card posts automatically are loaded and entered in relation to the travel. This means that I need not mess about with 117 forms.

Time savings are noticeable. I do not have to sit and mess about with calculating travel days, allowances, typing of purchases on credit - or wait for the statement from the credit card company. The system takes care of this for me. I have online access to my credit card account. This means that the credit-posts have already been loaded into the system when I do my travel settlement. All I need to do is control the credit card account, enter a few cash annex and click once. The travel settlement is then transferred to my manager who must approve it. Since everything is done online, I can do it anywhere, anytime - even at home in case that suits me best.

Better overview of expenses than ever

I travel quite a bit. It amounts to a lot of advances and expenses. On a busy day you almost have to be a bookkeeper to be able to keep track of all those advances and outstanding debts. I have to say that I have never had a better overview of all my outstanding debts then now with Travel-X. The system gives me a complete overview of my advances and expenses and what I need to be reimbursed for. And as a kind of bonus I actually get all of my outstanding debts compensated for much faster than before.

It also handles expenses which are not travel related

It is not only in relation to my travels that Travel-X makes my everyday life easier. The system also makes it easier to keep track of all sorts of expenses - for example parking, bridge tolls, ferry tickets, business dinners and driving reimbursements. This means that I only have to make one collected settlement. I have chosen to settle my expenses every 2 weeks - however this could also be done every month. Or every week. This way I get rid of carrying around a lot of sales slips. And at the same time, I am sure I get all of my driving reported.
